TNT Athletics Academy Rules & Regulations:

DEFINITIONS AND INTERPRETATION:

Whenever used in any section of the Academy general Terms & Conditions and/or the registration form, the following words and terms have the meanings set out below unless inconsistent with the context:

Academy means the TNT Athletics Academy (Qatar), a company incorporated in Qatar under commercial registration number: 179456.

Training Facility means the Athletics Track and other facilities – including changing areas, toilets, spectator areas, indoor areas, waiting areas, etc. – where training sessions are held.

Guardian(s) means a minor Child’s parents and/or the person(s) legally responsible for a Child and exercising parental authority; Parent(s) has the same meaning;

Participants means the Athletes. 

Athlete means a minor child registered by his Parents, or an Adult registered to participate in TNT Athletics Academy activities; Child and Children have the same meaning;

Terms means a period in the year, made of a number of weeks, during which Training Sessions are held. Season means all the Terms available within a year;

Training Sessions means the physical & technical training sessions organised by the Academy and Training facility means the Athletics track where athletes train for Athletics and take part in competitions;

Terms & Conditions means the Academy general terms and conditions made of the following sections, each section being an integral component of such general terms and conditions, and all sections together constituting the general terms and conditions: 1. the rules & regulations, 2. the data protection & confidentiality policy, 3. release of liability, 4. media consent, 5. medical policy, 6. refund policy and 7. the Covid-19 declaration;

Registration & Memberships

  • Monthly and term-based memberships are available and are only valid for the academy term they are purchased.
  • Registration fees are fixed for the payment period/term purchased with no reductions or discounts on price provided after payment is processed and received.
  • Term-based program registrations can be offered at any stage during a term and the fees will be pro-rata from your registration date.
  • Freezing memberships is not an option for any of our membership options purchased.
  • Memberships can be upgraded throughout the academic term and year. Memberships cannot be downgraded under any circumstances.
  • Memberships cannot be transferred to any other family members or individuals.
  • Upon registration, athletes are required to provide a copy of a valid QID or passport. This will also enable organisation of training facilities access to facilitate your child’s/your participation in all activities associated with the academy.

Payment Terms and Conditions (General) 

  • Payment methods: we accept various electronic payment methods, including credit cards, debit cards and other online payment platforms. By using our payment gateway on our website to make a payment, you authorise us to charge you the specified amount to your selected payment method.
  • Currency: All payments are processed in the local currency of Qatar (Qatari Riyal, QAR) unless otherwise stated. Exchange rates, if applicable, will be determined by the payment provider.
  • Security: We prioritise the security of your payment information and use industry standard encryption and security measures to protect your data. However, we cannot guarantee the complete security of information transmitted over the internet or stored electronically.
  • Payment disputes: In the event of a payment dispute or unauthorised charges, please contact us immediately. We will investigate the matter and work towards resolving any issues or discrepancies. 
  • Payment processing fees: Please note that additional fees may apply for certain payment methods or processing services. Any applicable fees will be clearly communicated during the payment process.

Payment of Fees 

  • All monthly or term-based payments must be paid in full via the online registration and payment process before any individual can participate in any activities associated with TNT Athletics Academy.
  • Any registration will be considered confirmed after full payment is processed and received for the month or term.
  • If any payment is made once the term has commenced, you will be required to pay pro-rata from the registration date and only for the remaining sessions in the TNT Athletics Academy coaching term.
  • Registration fees are fixed for the payment period/term purchased with no reductions or discounts on price provided after payment is processed and received.
  • If any fee discounts or reductions are availed due to promotions (i.e., early bird registration discounts or special offers), they will only be valid and applied to the payment period or term for which they are advertised or purchased.
  • Fees can also be paid in cash prior to your child/yourself participating in any activities associated with TNT Athletics Academy.

Refund Policy

  • Fees are non-refundable unless it is due to extenuating circumstances that are medically related. Each case will be assessed on its merit with the provision of the necessary documentation. 
  • Refunds will also be granted in exceptional circumstances and at the discretion of the TNT Athletics Academy management. 
  • An administration fee of QR 250 will be applicable to any refund other than those made on medical grounds. 
  • Refunds will be processed within 3 weeks from the date of approval. 
  • We reserve the right to deliver our programs online if any government restrictions relating to the COVID19 pandemic prevent the physical delivery of programs. No fees will be returned in such instances. 

Missed Sessions

  • Missed training sessions are not the responsibility of TNT Athletics Academy. 
  • Catch-up sessions will be offered for any missed sessions due to extenuating circumstances that are medically related. Each case will be assessed on its merit with the provision of the necessary documentation.
  • Catch-up sessions will also be granted in exceptional circumstances and at the discretion of the TNT Athletics Academy management. 
  • Catch-up sessions can be taken during the same week or a future week at 1 of our 2 designated training facilities as long as they are taken during the current term.

Camp Sessions

  • Camp sessions will be available only during designated periods of the school holiday periods.
  • Once camp sessions have been paid for in advance, there will be no refunds or catch-up sessions available if your child does not turn up. 
  • Fees will only be refunded if the absence is due to extenuating circumstances that are medically related. Each case will be assessed on its merit with the provision of the necessary documentation. 
  • Refunds will also be granted in exceptional circumstances and at the discretion of the TNT Athletics Academy management. 

 Cancellations & Changes

  • TNT Athletics Academy reserves the right to cancel or re-schedule training sessions, competitions or special events at any time due to unforeseen circumstances or factors out of our control (i.e., adverse weather conditions, impromptu venue closures).
  • In the event of cancellation or re-scheduling, we will make it a priority to notify athletes and parents in advance and offer alternative arrangements where possible.

Communications

  • Coaches are not available for discussion during training sessions. Any questions or concerns can be directed to the Head Coach on duty or Athletic Director before or after the training session. For any additional queries or information, please contact TNT Athletics Academy at:

Lost Property and Personal Belongings

  • It is advised to not bring valuable objects to the training sessions as the Academy cannot accept responsibility and/or liability for any item being lost, stolen or damaged.
  • Athletes are responsible for their own belongings, should look after them and must assume liability for their own property during their training sessions.
  • If an object is lost during a training session, parents and/or athletes are requested to inform their coaches and/or the Academy personnel, who will do their best to find the lost property.
  • If any items are found on the premises, they will be handed over to the security office or kept in a safe place by our staff.

Training Sessions and Session Schedules

  • Only the Academy can set the weekly sessions schedule, assign the athletes to the specific sessions and coaches. Parents cannot be involved in the decision making process or request that an athlete be assigned to a specific group.
  • Training times and/or schedules might be subject to changes with notice, especially during Ramadan, school holidays and/or spring and winter breaks, or in any situation that is beyond the control of the Academy. Any weekly schedule. training or calendar changes will be communicated via email, phone or social media.

 Ramadan Schedule

  • Academy sessions will be available during the Holy month of Ramadan at both of our training locations.
  • The training session times and weekly schedule will be subject to change to accommodate changes in the weekly academic schedule. 
  • Any changes to training session times and the weekly schedule will be communicated in advance via email, phone or social media.

Athlete Dress Code

  • Athletes should enter the Academy activities fully prepared for the training session wearing their full Academy kit. They should also have all the necessary equipment with them such as appropriate footwear, water bottle, sun protection, hat etc)
  • It is forbidden for athletes to wear or use any of the following during training sessions: non-official clothing, bracelets, chains, chewing gum, mobile phones, or any other item that could disrupt the session or endanger the athlete’s safety.
  • Any player in breach of the above terms will not be able to participate in the training session.

Hydration

  • Please ensure your child has at least 750ml – 1 litre of water with them at all training sessions. Venues do not have vending machines or water fountains and it is not the responsibility of TNT Academy staff to provide fluids to athletes.

Athlete Drop Off & Pick Up

A – DROP OFF

  1. Punctuality – Parents should ensure athletes are dropped off to training on time (at least 5 – 10 minutes before their training session begins).
  2. Safety – Parents should either drop athlete/s off by the gate or park their cars in the car park and walk with the athlete/s into the training facility. They should ensure athlete/s have been seen by a coach before leaving.

B – PICK UP

  1. Punctuality – Parents should be on time to collect athlete/s. Athletes coaches may have training sessions right after, so they cannot and will not be responsible for the children once the training session is over. ii. Belongings – Parents should ensure athlete/s leave the training session with all their personal belongings.
  2. Safety: Parents should come to the gate or inside the training facility to collect athlete/s. Athletes should not leave the training session without an adult with them. Athletes will have access to a phone if required. When parents expect to be late picking up athlete/s, please inform a TNT staff member in advance of the session starting or contact and inform one of our Academy staff and this information will be passed on to their child.
  3. If athlete/s are to be collected by anyone other than the parents, parents need to inform the Academy by sending a WhatsApp or text message to the Academy with the full name of the person who will be picking up the athlete/s.

Breach Of Rules

  • Any athlete violating the terms of Academy’s rules and regulations can receive a personal warning, be prevented from participating in one or more training sessions, be banned and excluded from the Academy depending on the seriousness of the violation and the athlete’s background/track record.
  • In addition, any parent in breach of the Academy’s Terms and Conditions may see their child or children banned and excluded from the Academy.
  • The exclusion of child or athlete will in no case give the right to any refund of training fees.

Code Of Conduct (Athletes & Parents/Guardians)

TNT Athletics Academy has formulated this code of conduct and requires that all participants, parents and guardians respect and comply with such a code of conduct:

A – GENERAL CONDUCT

  • Punctuality and regard for established timetables.
  • Tidiness and cleanliness, both in personal care and of the facilities.
  • The use of mobile phones by athletes is strictly prohibited.
  • Have regard for rules established by coaches and other Academy personnel.
  • Take care of equipment and the facilities.
  • Items belonging to another person must never be taken or used without permission.
  • Not engage in any behavior which would endanger the health, safety, or well-being of any coach, parent, participant, official or any other attendee.
  • Consumption and/or being in possession of tobacco and/or alcohol and/or drugs are strictly prohibited. Anyone in breach of this rule will be immediately excluded from the Academy.

B – CHILDREN (Athletes)

Training and competing in Athletics should always be a safe, positive and engaging experience for children.

This is why it is important to be clear on behavioral standards that the Academy expects from everyone.

By accepting to take part in the activities of the Academy, it is important athletes understand and comply with the behavioural standards and expectations outlined in the following code of conduct.

In taking part in the Athletics activities of the Academy children have the right to:

  • Have fun and develop my well-rounded athletics skills.
  • Feel safe and happy.
  • Be protected from inappropriate behavior, by adults and my peers that make me feel uncomfortable or sad.
  • Speak and be listened to, especially if I have concerns or don’t feel safe.
  • Know where to go to ask for help and who to speak to if I’m afraid or worried about something.
  • Be looked after if I hurt or injure myself. Receive assistance in the event of an accident or injury and have your parents informed.

Children/Athletes also have a duty to:

  • Create and maintain a training and competition environment that is pleasant and respectful of everyone’s right, whether male or female.
  • Ensure that they are on time for training sessions, competitions and any other Academy activity.
  • Respect and celebrate differences in our Academy and do not discriminate against anyone else on the grounds of gender, nationality/race or ability.
  • Respect and attentively listen to your coach and always do your best to implement coach feedback, input and instructions and execute all activities to the best of your ability.
  • Treat other athletes with respect and appreciate that everyone has different levels of skill, ability and talent. 
  • When you’re attending the academy’s activities, stay in safe places for training and don’t wander off or leave without telling a member of staff.
  • Show respect and sportsmanship toward other athletes during and after all competitions (win/lose/draw or compete below your best).
  • Inform their coach of any injuries or medical conditions before or during the activities.
  • Bring the right training kit to training (clothing and footwear) and always bring your own water as it is not the responsibility of the Academy to provide water during training sessions.
  • Respect, encourage and support their peers to fully participate in all activities. 
  • Respect the dignity, values and the point of view of their peers.
  • Never use vulgar, racist, homophobic, discriminatory or offensive language towards anyone.
  • Report any incidents of bullying, any form of discrimination or prejudice to a TNT staff member, even if you’re just a witness.
  • Not use social media (Instagram, Facebook, Snapchat, Twitter, TikTok, WhatsApp, etc.) to offend, wound, or upset anyone, for example by spreading negative comments or private images without any consent.

Athletes will be made aware that if anyone is behaving inappropriately, if they feel uneasy, threatened or in danger, they can always talk about it with Brendan Tammo face to face or on: +974 55297579 or any other Academy staff member they have trust in. 

There will always be full receptiveness and athletes will be listened to in a calm, non-judgmental and open way, and we will always do our best to formulate solutions to rectify any situations that concern athletes or make them feel uneasy or threatened etc.

We expect that all children/athletes to follow and abide by the behaviours, expectations and standards set out in this code of conduct. If any child/athlete behaves in a way that contradicts any of the points outlined above, we will address the issue or problem in a timely manner with parent’s involvement and aim to resolve the issue and come up with practical solutions. 

Continued issues and serious breaches of this code may result in us regrettably asking the child/athlete to leave the TNT Athletics Academy temporarily or permanently as the welfare of other children and staff is a priority, as is maintaining a safe, enjoyable, respectful and professional environment for all parties involved in the Academy. This is something we never want to do.

*Please note: The exclusion of a child/athlete will in no case give the right to any refund of training fees.

C – PARENTS/GUARDIANS

As parents/guardians you will contribute to the development of a safe, enjoyable and engaging environment where your minor Children can participate and compete in Athletics. It is therefore important that you commit to:

  • Cooperate with and show respect for everyone who takes part in the Academy.
  • Promote high standards of behavior.
  • Not use or tolerate offensive or abusive behavior or language with/by athletes, coaches or officials.
  • Appreciate all athlete’s effort, commitment and participation rather than focusing on the performance and the results.
  • Neither tolerate nor encourage any form of bullying.
  • Not humiliating nor diminishing the efforts of minors in training, competition or blame them for not competing always at their best.
  • Not to physically punish any minors.
  • Respect the privacy of minors, for example, by not entering changing rooms without first speaking to the coach.
  • Refrain from the inappropriate use of social media, which includes not publishing photographs or comments on minors or their families on personal social media (e.g., Facebook or other websites) without the permission of the parents.

As parents/guardians you have the right to:

  • Know that the minor children during the activities are safe and protected from all forms of inappropriate conduct or
  • Be informed of any problem or concern related to your children or entrusted minor.
  • Express your concern about the safety and well-being of your children or of any other minor to the coach and/or the Child Safeguarding Officer Brendan Tammo at:

  • Expect that your concerns will be promptly managed and addressed in the most appropriate manner. 

*Please note: TNT Athletics Academy’s approach to Safeguarding and Protecting Children in Athletics is characterised by an ethos of vigilance, respect, integrity honesty, transparency and control processes. Based on this ethos, we have formulated a Safeguarding Children in Athletics Policy that explicitly outlines our commitment to creating a safe and supportive environment whereby children can participate in Athletics feeling protected from any behaviors constituting poor practice, harm, exploitation or abuse. 

This policy will be distributed to parents after the registration process is completed.
